Cancellation & Rearrangement Policy

At The Hospitality Train, we plan and deliver learning experiences with care, preparation, and dedicated diary commitment. This policy sets out the terms that apply if a booking is cancelled or rearranged.

By confirming a booking, you agree to the terms outlined below.

1. Individual Sessions (Coaching, 1:1 Sessions, Discovery Sessions)

Cancellations

  • Cancellations made more than 48 hours before the scheduled session will not incur a charge.

  • Cancellations made within 48 hours of the scheduled session will be charged at 100% of the session fee.

  • Failure to attend a scheduled session without notice will be treated as a late cancellation.

Rearrangement

  • One rearrangement is permitted without charge if requested more than 48 hours before the scheduled session.

  • Rearrangement requests made within 48 hours may be treated as a cancellation and charged accordingly.

2. Workshops, Training Sessions & Programmes (Virtual or In-Person)

Due to preparation time, materials, and diary reservation, the following terms apply:

Cancellations

  • More than 14 days’ notice
    No cancellation fee will apply. Any payments made may be refunded or credited, excluding any non-recoverable costs already incurred.

  • 7–14 days’ notice
    50% of the agreed fee will be payable.

  • Less than 7 days’ notice
    100% of the agreed fee will be payable.

Any non-recoverable costs (including, but not limited to, travel, accommodation, venue hire, or materials) will be chargeable where already incurred.

Rearrangement

  • Rearrangement requests made more than 14 days before the scheduled delivery date may be accommodated at no additional cost, subject to availability.

  • Requests made within 14 days may incur a partial charge or administrative fee to reflect preparation already completed.

  • Requests made within 7 days may be treated as a cancellation.

All rearranged sessions must take place within 90 days of the original scheduled date unless otherwise agreed in writing.

3. Exceptional Circumstances

We recognise that exceptional circumstances can arise. Flexibility may be offered at our discretion in cases such as:

  • Serious illness

  • Emergency operational closures

  • Events outside reasonable control (force majeure)

Any such arrangements will be assessed on a case-by-case basis.

4. How to Cancel or Rearrange

All cancellation or rearrangement requests must be made in writing via email.
The effective date of cancellation or rearrangement is the date written notice is received.

5. Acceptance of Terms

By booking or making payment for any service provided by The Hospitality Train, you confirm that you have read, understood, and agreed to this Cancellation & Rearrangement Policy.Our programmes are shaped by deep hospitality experience and informed by current operational realities. We balance strategic insight with practical delivery, ensuring training is relevant, engaging, and immediately applicable.
